We do not offer refunds for canceled, missed classes or special events. Instead, you may make up the class by attending any subsequent class or event

Obstacle Wonderland Birthday Party & Private Event Policy

We want every birthday party and private event at Obstacle Wonderland to be a fun, safe, and memorable experience. The following policies help us properly prepare the facility, schedule staff, purchase supplies, and reserve your requested date and time.

Reservations and Deposit

A nonrefundable deposit of $100 or 25% of the total event price, whichever is greater, is required to reserve an event date and time.

A date is not officially reserved until the deposit has been received.

The remaining balance is due no later than seven days before the event. Events booked less than seven days in advance must be paid in full at the time of booking.

The deposit will be applied toward the final event balance.

Guest Count

An estimated guest count must be provided when booking.

A final guest count is required at least seven days before the event. The final balance will be based on the confirmed guest count or the number of guests who attend, whichever is greater.

Additional guests may be added if staffing, space, and equipment allow. Additional charges may apply.

Children who participate in activities or use the obstacles are considered event participants.

Customer Cancellations

Because each event date is reserved exclusively for the customer, deposits are nonrefundable.

More Than 14 Days Before the Event

The customer may transfer the deposit to another available event date within six months of the original event.

One complimentary date change is allowed.

Between 7 and 14 Days Before the Event

The deposit remains nonrefundable. Any additional payments may be transferred to another available date, subject to a $50 rescheduling fee.

Less Than 7 Days Before the Event

Payments are nonrefundable because staffing, supplies, and event preparations have already been scheduled.

Obstacle Wonderland may allow a one-time reschedule for a documented illness, emergency, or other serious circumstance. Rescheduling decisions will be made on a case-by-case basis.

Failure to attend without contacting Obstacle Wonderland will be considered a cancellation, and all payments will be forfeited.

Weather Policy

Obstacle Wonderland events are held primarily outdoors. Light rain, mud, cool temperatures, or normal seasonal weather will not automatically result in cancellation.

Customers should encourage guests to dress appropriately for outdoor conditions and bring a change of clothes when appropriate.

Obstacle Wonderland may modify activities, delay an event, move activities to another suitable area, or remove specific obstacles if weather or field conditions create a safety concern.

If dangerous weather is expected, including lightning, severe storms, flooding, extreme heat, high winds, or other unsafe conditions, Obstacle Wonderland may reschedule the event.

When Obstacle Wonderland determines that an event cannot safely take place, all payments will be transferred to a mutually agreed-upon date. The customer will not lose their deposit because of a cancellation initiated by Obstacle Wonderland.

Weather decisions are made by Obstacle Wonderland and are based on actual and expected conditions at the facility, not weather conditions at the customer’s home.

Unforeseen Facility Cancellations

Obstacle Wonderland reserves the right to postpone or cancel an event because of:

  • Severe weather or unsafe field conditions

  • Power outages

  • Equipment damage

  • Staff emergencies

  • Illness

  • Government restrictions

  • Natural disasters

  • Other circumstances beyond reasonable control

When possible, the event will be rescheduled.

Obstacle Wonderland will provide a reasonable replacement date.

Obstacle Wonderland is not responsible for additional expenses incurred by the customer, including food, decorations, transportation, entertainment, or outside vendors.

Illness and Emergencies

Guests who are sick, experiencing a fever, vomiting, or displaying symptoms of a contagious illness should not attend.

If the birthday child or immediate family experiences a documented medical emergency, Obstacle Wonderland will make a reasonable effort to reschedule the event.

A medical or family emergency does not automatically guarantee a refund, but the deposit may be transferred to another date at Obstacle Wonderland’s discretion.

Food and Beverages

Customers may bring food, birthday cake, cupcakes, snacks, and nonalcoholic beverages unless otherwise stated in the event package.

Food must remain in the designated party or eating area.

Glass containers are not permitted.

Alcohol, smoking, vaping, illegal substances, and cannabis products are not permitted unless specifically authorized in writing for an adult private event.

Customers are responsible for supplying plates, cups, utensils, napkins, serving tools, candles, matches or lighters, coolers, and food-storage containers unless these items are included in the event package.

Food deliveries must be coordinated so they do not interfere with the event schedule.

Obstacle Wonderland does not guarantee refrigeration, freezer space, food warming, or food preparation facilities.

Food Allergies

The customer is responsible for asking guests about food allergies and dietary restrictions.

Obstacle Wonderland does not prepare or supervise food brought in by customers or outside vendors and cannot guarantee an allergen-free environment.

Food containing common allergens should be clearly identified.

Outside Vendors

Outside vendors, entertainers, photographers, food trucks, caterers, bounce houses, and rental equipment require advance approval.

Vendors may be required to provide proof of insurance.

The customer is responsible for the actions, setup, cleanup, and expenses of any outside vendor.

Vendor setup and breakdown must take place during the approved access times unless other arrangements have been made.

Decorations

Customers may bring reasonable decorations.

Decorations may not be attached to obstacles, trees, equipment, buildings, or fencing without permission.

The following are not permitted unless approved in advance:

  • Confetti

  • Glitter

  • Water beads

  • Silly string

  • Smoke devices

  • Fireworks

  • Open flames

  • Nails, staples, or permanent adhesives

  • Decorations that may damage the property or create a slipping hazard

All decorations and personal items must be removed at the end of the event.

Setup and Event Time

Event packages include only the time listed in the reservation.

Customers may arrive up to 20 minutes before the scheduled start time for basic setup unless additional setup time has been arranged.

Events must end at the scheduled time so staff can clean and prepare for the next activity.

Additional time may be charged in 30-minute increments when available.

Arriving late does not extend the scheduled event time.

Waivers and Supervision

Every participating guest must have a completed Obstacle Wonderland waiver before using the obstacles, zip line, water slide, or other activity areas.

A parent or legal guardian must complete the waiver for each minor.

Guests without a completed waiver may attend the party but may not participate in physical activities.

Parents and guardians remain responsible for supervising their children unless the event package specifically includes supervised drop-off care.

Obstacle Wonderland staff will provide activity instructions and safety oversight, but staff members are not personal babysitters.

Safety and Conduct

Guests must follow all staff instructions and posted safety rules.

Obstacle Wonderland may stop a guest from participating because of unsafe behavior, bullying, fighting, intentional property damage, failure to follow instructions, or behavior that places others at risk.

No refund will be provided when a guest is removed from an activity because of unsafe or inappropriate conduct.

Closed-toe athletic shoes may be required for obstacle participation.

Certain activities may have age, size, height, weight, clothing, or ability restrictions.

Obstacle Wonderland may close or substitute any obstacle that is damaged, unavailable, or considered unsafe.

Damage and Excessive Cleanup

The customer is responsible for damage caused by the customer, guests, or outside vendors beyond normal wear and tear.

An additional cleaning or damage fee may be charged for excessive trash, food spills, prohibited decorations, intentional damage, or failure to remove personal belongings.

Personal Belongings

Obstacle Wonderland is not responsible for lost, stolen, damaged, or unattended personal belongings.

Customers should check the party area before leaving.

Items left behind may be discarded or donated if they are not claimed within 14 days.

Photography and Media

Obstacle Wonderland may take photographs or short videos during events for promotional purposes.

Customers who do not want their private event photographed should notify Obstacle Wonderland in writing before the event.

Parents and guardians may also notify staff if a specific child should not appear in promotional content.

Refunds

Deposits and payments are not refundable because of:

  • A lower-than-expected guest count

  • Guests who do not attend

  • Late arrival

  • Early departure

  • Dislike of normal outdoor conditions

  • Failure to complete waivers

  • Removal for unsafe behavior

  • Closure or substitution of an individual obstacle

  • Customer-provided food, decorations, or vendor issues

Any approved refund will be returned using the original method of payment when reasonably possible.

Agreement

Payment of the deposit confirms that the customer has reviewed and accepted this Birthday Party and Private Event Policy.

Obstacle Wonderland may make reasonable changes to the event schedule, activity order, obstacle selection, or location when necessary for safety, staffing, weather, or facility operations.
